The Importance of Taking Photos and Videos At Your Corporate Event

Your Corporate Event will take a great deal of planning, money and time and so it is important to consider the documentation of your event as part of your planning process.

Having photos and videos of your Corporate Event will not only record important points during the event but it will give you the opportunity to market your event success after the event itself has finished and encourage attendance at the next event should your event occur again at a future date.

Allocate the Corporate Event Documenting Role

The first step would be to allocate the management of documentation to a specific individual throughout the Corporate Event sessions.

This can be done by either identifying someone within the Corporate Event team or by using the services of a Photographer/Videographer. 

If the budget allows employing the services of a professional to carry this out would allow for a more professional service to be undertaken which will be hugely beneficial for your event however less formal staged photos that can be taken on a mobile phone could be just as good and will also help your budget!

Whatever route you choose to take put some ground rules in place covering how and where the photos can be taken, areas that are out of bounds perhaps for confidentiality and safety reasons and also ensure you have got agreement from delegates for photos and videos being taken by sending a disclaimer ahead of the event.

So that you do not end up annoying your guests ensure that your photographer/videographer agrees to operate in the background and does not intrude too much on delegates in attendance.

During the planning process p your proposed put together a Event Documenting Plan to ensure the right photos and videos are taken at the right time capturing the key moments of the Corporate Event.

Think about the stages of the Corporate Event and the moments to be captured, for example there is the attendees arrival time and sign up, meetings and presentations where attendees are seated, photos and videos of speakers, group photos, break times, entertainment and any suppliers setups such as stages and caterers.

Photos are an obvious option but there is mileage in considering taking videos as well as this will give a more real feel of how the event went.

With the availability of video editing software this gives an ideal opportunity to sell the success of the Corporate Event in different ways, by using editing features this would provide the ability to save short clips that could produce perhaps a series of videos about the Corporate Event for example.

Live Streaming is easily done on Social Media or by using software if this is appropriate for your Corporate Event type this could be beneficial where there is a large scale event and there needs to be access for delegates on site who cannot be in the exact vicinity of the activities occurring.

Using live streaming this could increase the scale of your event both nationally and internationally if your company has offices around the world for example and you would be able to promote your efforts and the size of your audience easily and quickly.
